The WIP Operating Model

How Wellness Intelligence Platform™ Works

We do not start by selling a service.

We start by understanding the business and what the owner wants to accomplish. Then we look for where growth is getting stuck. Only then do we decide what to build, connect or improve.

You know your business. We add another layer of investigation, measurement and pattern recognition on top of what you already know.

  1. Understand
  2. Identify
  3. Configure
  4. Implement
  5. Measure
  6. Improve

The starting point

The Symptom Is Easy To See. The Cause Is Not.

Most growth conversations begin with a sentence like one of these.

“We need more leads.”
“Our website isn't working.”
“People aren't booking.”
“We're busy, but revenue isn't where it should be.”
“Our front desk is overwhelmed.”
“We need better follow-up.”
“We need more memberships.”
“We spend on marketing but don't know what's working.”

Every one of these is a real problem worth attention.

But each one can also be the visible edge of something else. More leads will not help if inquiries are not answered quickly. A new website will not help if the booking step is the part that loses people.

So we investigate before we prescribe.

Step one

Growth Readiness: Understand Before Prescribing

Growth Readiness is not a marketing quiz or a scorecard. It is the first step of gathering intelligence about the business.

What we ask about

  • How the business makes money and what the owner wants next
  • How new clients find and choose the business
  • What happens to an inquiry, and how fast
  • Booking, follow-up and rebooking
  • Retention, memberships and packages
  • The systems in place today, and what is being measured

The questions are about how the business runs today. Nothing is sold during the assessment.

Before we recommend what to change, we need to understand what is happening now.

Start the Growth Readiness Assessment

Step two

The Growth Readiness Report

After the assessment, the business receives a report built from the answers provided. It creates a first picture — not a final diagnosis.

01

What appears to be working

02

Where there are clear gaps

03

Possible constraints on growth

04

Areas worth a closer look

05

Questions we still need answered

A starting picture, not a verdict.

The answers come from the owner. During the wider review we may also look at what can be observed from the outside, such as the public website, booking experience and search presence.

The report shows what the evidence suggests so far, and what still needs to be checked.

Step three

Executive Growth Review™

This is not a sales call. It is the conversation where we go through what we have learned and decide together what deserves attention first.

  1. Growth Readiness
  2. Initial intelligence
  3. Executive Growth Review™
  4. Priority / constraint
  5. Growth Engine configuration

What we cover

  • What you want to accomplish
  • What appears to be working
  • Where growth may be getting stuck
  • The evidence behind that view
  • What we would look at next
  • What we would address first
  • Whether a Growth Engine makes sense for you

Some things can be seen clearly from the outside. Others only become clear once we can see real activity inside the business. We say which is which.

Where certainty is not available, we say what the evidence suggests and where we would look next.

The operating model

One process, from first conversation to ongoing improvement.

This is the single model behind every engagement. Each stage answers one business question.

  1. 01

    Understand

    Understand the business

Understand how the business actually acquires, converts, serves and retains clients.

  2. 02

    Identify

    Identify the constraint

Determine where growth is actually being limited rather than assuming the visible symptom is the problem.

  3. 03

    Configure

    Configure around it

Determine which parts of the platform need to lead, which already work, and how they should connect.

  4. 04

    Implement

    Implement & connect

Put the required systems, journeys, automation and operational infrastructure into place.

  5. 05

    Measure

    Measure what changed

Measure the signals that matter to the identified constraint rather than relying only on lead counts.

  6. 06

    Improve

    Improve what matters next

Use what was learned to strengthen the system and address the next meaningful constraint.

Understand

What is happening now?

Identify

Where is growth getting stuck?

Configure

What should this business actually use?

Implement

How do we put it into operation?

Measure

What actually happened?

Improve

What should we change next?

Three different things, so they are not confused: the operating model is how we work with the business. The client journey is how that business's clients decide and book. The Growth Engine is the configuration built around that business and its current priority.

The platform adapts

The Platform Adapts To The Business. The Business Doesn't Have To Adapt To The Platform.

Two businesses can use the same platform and need very different configurations, because their clients decide in different ways. These are examples, not fixed templates.

Massage & Skincare Business

Demand exists. The constraint is capacity, availability and repeat visits.

  1. Need
  2. Service
  3. Availability
  4. Provider
  5. Room / Resource
  6. Booking
  7. Visit
  8. Checkout
  9. Return

The decision is quick, so the configuration has to lead with availability, resource capacity and the systems that bring a client back.

Medical Aesthetics Practice

Demand exists. The constraint is education, trust and consultation conversion.

  1. Concern
  2. Education
  3. Options
  4. Decision Support
  5. Relevant Proof
  6. Provider Authority
  7. Consultation Preparation
  8. Consultation
  9. Plan

The decision takes longer and carries more uncertainty, so the configuration has to lead with education, decision support and provider credibility.

Same Supporting Systems Underneath

  • Intelligent Website
  • AI Receptionist
  • Scheduling Intelligence
  • Membership Management
  • Client Communication
  • Review Automation
  • Reporting & Insights
  • AI Readiness

The same underlying architecture is configured differently for each journey — which capabilities lead, and how they connect, depends on where growth is actually constrained.

Cosmetic Injectable example

Someone may start with “I look tired.” They need education, help deciding, proof that is relevant to them and confidence in the provider before a consultation makes sense.

Cosmetic Injectable Growth Engine

Massage example

Someone may start with “I need a massage Saturday afternoon.” That journey needs service choice, therapist eligibility and schedule, room availability, booking and a reason to come back.

Massage Growth Engine

Same platform philosophy. Different Growth Engine configuration.

The Cosmetic Injectable Growth Engine shows how that configuration works for a consultation-led practice, and the Massage Growth Engine shows it for a schedule-led one.

What “configure” means

A Growth Engine Is Not A Fixed Bundle

It is the platform applied to one business: its growth priority, its client journey, its current constraint, the systems worth keeping and the measurement needed to know what happens next.

Getting found and getting inquiries

  • Website and client-journey improvements
  • Landing experiences for a specific offer
  • Acquisition and campaign support
  • Inquiry capture

Turning interest into visits

  • Client communication
  • AI assistance for common questions
  • Booking
  • Follow-up and nurture

Keeping and growing the relationship

  • Rebooking and retention
  • Memberships and packages
  • Commerce
  • Operational automation

Knowing what happened

  • Reporting
  • Business intelligence
  • Journey measurement where systems allow it
  • Review of what to improve next

No business receives all of it. Most receive a small part of it.

Implementing does not mean replacing.

Keep what works. Connect what can be trusted. Improve what is getting in the way. Build what is genuinely missing. Measure what happens next.

We do not replace something just because we did not build it.

A website that works, a booking system that fits the journey, a CRM worth keeping, a strong front desk, an effective media buyer, useful software, processes your team trusts — we can work with those when it makes technical and practical sense.

If one of those pieces creates friction in the exact part of the journey the Growth Engine has to control, we may suggest improving it, connecting to it, working around it or replacing that one experience.

The six implementation choices

Keep
Something already works and the business should not have to give it up.
Connect
A supported, trustworthy connection to an existing system exists, so we use it instead of rebuilding.
Operate
A function is better run directly by the Platform because it has to be reliable and measurable.
Improve
The system stays, but the workflow or the client experience around it gets better.
Build
Something the business genuinely does not have yet, and needs.
Leave alone
Changing it would add cost and disruption without adding value. So we don't.

About connections, plainly: we do not work with every system that exists. Where a supported and trustworthy connection is available, we use it. Where it is not, we say so instead of pretending two systems are talking to each other.

What WIP is not simply

  • An ad agency
  • A website company
  • A CRM
  • A booking system
  • An AI chatbot
  • An automation package
  • A dashboard

What WIP is

  • A way to understand what is limiting growth
  • An operating framework configured per business
  • A way to connect the client journey, operations and measurement
  • The foundation underneath each Growth Engine

Measurement

Clicks Are Not The Business. The Journey Is.

An ad platform can report clicks, impressions, leads and cost per lead. Those numbers help. They do not tell you whether the client booked, showed up, bought or came back.

  1. Implement
  2. Observe
  3. Measure
  4. Identify what changed
  5. Improve the next constraint

Inquiry and response

How many people reach out, and how quickly they get an answer.

Conversation to booking

How many of those conversations turn into a scheduled visit.

Attendance and purchase

Whether the visit happens, and what the client chooses.

Rebooking and retention

Whether the client comes back, and how often.

Value over time

What a client is worth across visits, packages or a membership.

The weakest meaningful point

Which single step is costing the most, so it can be improved first.

Not every stage can be tracked in every business. What we can see depends on the systems in place and the data they allow. We do not promise perfect attribution.

Measure as much of the real journey as the business's systems allow. Then improve the weakest meaningful point.

This is not assess once, install things, done.

Constraints move. Fixing one bottleneck often exposes the next one. Demand changes. Staff change. Client behaviour changes.

  1. Measure
  2. Learn
  3. Improve
  4. Measure again

That loop is where the word “Intelligence” earns its place.

Where the evidence comes from

Before we say something improved, we have to know what actually happened.

So we keep three kinds of evidence separate, and we tell you which one a number came from.

What we observed
Things anyone can see from the outside, such as the public website, booking experience or search presence.
What the Platform operated
Activity that ran through a part of the system we operate, so it can be counted directly.
What another system reported
Figures from a system the business already uses, where the business has authorized access to that data.

Improve what matters next

Improvement means making the next decision with evidence — not changing things to stay busy.

Once we can see what happened, there are only a few honest options.

  • Keep the change, because the evidence supports it
  • Refine it, because it is close but not right yet
  • Look further, because the evidence is not clear enough yet
  • Move to the next constraint, because this one is no longer the limit
  • Leave something alone, because it is working
